EVENT TERMS SUMMARY
- Payment: A prompt payment is required during application via methods described on our online portal. If payment is not received within 10 business days of the application, the application will be automatically denied. Contact event staff at sponsor@uaws.org for alternative payment options if needed. Applications may be declined if event space is insufficient. A full refund will be provided to the applicant if not accepted.
- Booth Space: Standard booth space is 10'x10' and allows at most one tent. Additional tent space can be pre-purchased for an additional fee. Unauthorized additional tents will incur a $700 fee.
- Booth Setup & Tear Down: Setup begins at 9:00 AM; booths must be ready by 12:00 PM. Sponsors must handle their own setup, teardown, and cleanup.
- Booth Hours: Booths must remain open throughout the event day (between 12:00 pm and 10:00 pm on Saturday, August 29, 2026).
- Electrical Needs: Basic electrical access costs $50. Additional requirements may incur extra charges. No generators are allowed without prior consent.
- Cleanup: Sponsors are responsible for cleaning their designated area. Failure to do so results in discarded materials and a $75 penalty.
- Banners: Banners size is determined by sponsorship package and setup is directed by the event staff between 10:00 AM and 12:00 PM. Inappropriate banners will be rejected.
- Insurance: Sponsors must carry liability insurance and provide proof upon request.
- Health & Safety: Compliance with all health and safety regulations is required, including necessary permits and certifications.
- Permitted Items: Items sold must be family-friendly. Harmful, illegal, or offensive items are prohibited.
- Event Schedule: Adherence to the event schedule is mandatory.
- Noise Levels: Must adhere to acceptable noise levels. Amplification equipment is subject to event staff approval.
- Rain Out Policy: No refunds due to weather. Event staff will notify if booths must close.
- City of Seattle business license is required: Each sponsor is required to obtain a business license with the City of Seattle. See instructions in the Terms of Agreement below.
TERMS of AGREEMENT
- Deadline: AUGUST 10, 2029. Late entries will be accepted only if exhibit space is available. A late fee of $25.00 will apply.
- Payment and Reservation Acceptance: Payment is required at the time of application using our online portal. Please contact event staff at sponsor@uaws.org for assistance or to get information about other ways to pay. The Ukrainian Association of Washington State reserves the right to cancel reservations if there is insufficient event space. In the event your reservation is canceled, you will be informed via email provided during registration and a full refund will be provided.
- City of Seattle Business License: Sponsors engaging in business activity within the City of Seattle are responsible for obtaining a business license and may also be subject to local taxes such as admission tax or B&O tax. You can apply for a business license here. Note, that you need to create a Business account before getting the business license.
- Booth Space Size and Construction: All installations constructed by the Sponsors must fit within an area of approximately 10 feet deep and 10 feet wide. Sponsors are limited to one tent in each 10-foot by 10-foot area and must supply all items needed to construct and operate their area (tent, tables, signage, etc.). Space for additional tents can be pre-purchased at a discounted rate of $200 per additional tent. Any violations of these space limitations will result in an additional fee of $700 charged to the Sponsor.
- Booth Space Assignment: Booth space will be randomly assigned to participants taking into consideration booth size and electrical requirements. Returning Sponsors will have priority for assigned space. All others will be on a first come first served basis. Due to changes in the Event boundaries and new strategies for booth requirements, the map layouts change from year to year. The Ukrainian Association of Washington State cannot guarantee space location, however, you may request a specific location for consideration.
- Booth Setup & Tear Down: Sponsors may begin setting up their booth no earlier than 9:00 AM, and must be completely ready for operation by 12:00 PM. We will notify you by phone if the times change. Sponsors must provide their equipment and be responsible for set-up, tear-down, and cleanup.
- Booth Operation Hours: Sponsors are required to keep their booths open and operational throughout the entire event day. Booths must remain open from 12:00 PM to 10 PM on Saturday, August 29, 2029. Early closure or late setup of booths is not permitted and may result in penalties.
- Electrical Requirements: Sponsors must detail any electrical needs in advance. A $50 electricity charge will apply for access to basic electrical connections, but any additional requirements may incur extra charges. Only plugs tagged during the sign-in period will be allowed and payment for additional plugs cannot be accommodated during the event. No electrical generators will be allowed without advance written consent of the Ukrainian Association of Washington State.
- Cleanup responsibilities: Sponsors are responsible for the cleanup of their space and any equipment or materials they bring. Failure to clean up their designated area will result in all equipment and materials left behind being discarded and a $75 penalty charged to the vendor or sponsor. You are responsible for removing all waste from the park.
- Banners: Sponsors may begin setting up their banners no earlier than 9:30 AM am, and must be completely ready for operation by 12:00 PM. Placement of banners will be directed by event staff, and vendors and sponsors must adhere to designated locations as indicated. Banners must not exceed the maximum size allowed by the sponsorship package, and the maximum display height for banners, including any stands or supports, is 12 feet. The event staff reserves the right to reject any banner with content that is deemed offensive, obscene, or inappropriate. Sponsors are responsible for their banners and any equipment used to display them, and the Ukrainian Association of Washington State, the City of Seattle, and event staff are not liable for any damage or loss of banners or display equipment. Banners must be removed by sponsors at the conclusion of the event, and any banners left behind will be discarded.
- Non-Transfer of Space: Sponsors may not transfer or sublet their space, or any part of their space, to permit said space to be used by any other person without the prior written consent of the Ukrainian Association of Washington State.
- Insurance Requirements: Sponsors are solely and individually responsible for carrying any liability insurance as required by applicable laws and regulations and must be able to provide proof upon request.
- Health and Safety Compliance: Sponsors must comply with all health and safety regulations, including obtaining necessary health permits and food handling certifications if selling food or beverages.
- Permitted and Prohibited Items: Sponsors must ensure that all items sold or displayed are appropriate for a family-friendly environment. The sale or display of items that are illegal, harmful, offensive, or inappropriate for all ages is prohibited. The Ukrainian Association of Washington State reserves the right to determine the appropriateness of items and may require the removal of any items deemed unsuitable for the event.
- Event Schedule and Attendance: Sponsors must adhere to the event schedule, including mandatory attendance times.
- Noise Levels: Sponsors must adhere to acceptable noise levels, especially if using amplification equipment. The event staff reserves the right to manage noise levels to ensure a comfortable environment for all attendees.
- Indemnification: The Sponsor hereby agrees to indemnify, defend, and hold the Ukrainian Association of Washington State and the City of Seattle harmless from and against any and all claims, liabilities, losses, damages, costs, expenses (including attorney’s fees), judgments, and penalties arising out of (i) any third-party claims concerning alleged defective products or merchandise manufactured, distributed, and/or sold by the Sponsor; (ii) any act or omission of the Sponsor, its employees, servants, and agents. In addition, the Ukrainian Association of Washington State hereby agrees to indemnify and hold the Sponsor harmless from any and all claims, liabilities, losses, damages, costs, expenses (including attorney’s fees), judgments, and penalties arising out of this Agreement, to the extent caused by any negligent act or omission of the Ukrainian Association of Washington State, their employees, servants, and agents. The Sponsor understands the Ukrainian Association of Washington State reserves the right to remove any works deemed inappropriate for the Event. The Sponsor acknowledges that failure to comply with the standards of being “suitable for all ages” may result in removal from the Event and jeopardize future participation. The Sponsor agrees to allow the Ukrainian Association of Washington State to use enclosed promotional materials, as well as photographs and videos taken during the Event, for purposes of promoting the Event in the current year and in future years. The indemnification obligations stated in this clause shall survive the termination of this Agreement.
- Hold Harmless: The applicant acknowledges that the Ukrainian Association of Washington State and the City of Seattle, along with their officers, directors, and members, are not responsible for any damage or loss of personal property belonging to the applicant or for any damages caused by the vendor’s property to any guest of the park. The applicant hereby waives any claim against the above organizations as a consequence of such possible damage or loss.
- Right of Refusal: The Ukrainian Association of Washington State reserves the exclusive and discretionary right to decline applications for Vendor space reservations in general and in these instances in particular: failure to provide photos of Vendor booth, space or electrical power limitations, duplication of sale items or deviation from the event purpose or desired image. The event is a family-oriented event and the sales of any kind of harmful, illegal, or offensive items are prohibited. The decision of the Ukrainian Association of Washington State is final.
- Rainout Policy: In the event of inclement weather, the Ukrainian Association of Washington State will assess the situation and determine if it is necessary to close down booths at the event and call a rain–out. Sponsors will be informed if this is the case by the event staff. No refunds will be made due to weather conditions.
- Compliance with terms of contract: Sponsors, their representatives, agents, and employees will comply with all general rules and regulations prescribed by the Ukrainian Association of Washington State. The Sponsor certifies that this information will be properly and completely communicated to its associates to ensure complete compliance.
- Non-Compliance Penalties: Non-compliance with any of the terms and conditions outlined in this agreement will result in additional charges where specified in the individual terms (e.g., a $700 charge for unauthorized additional tents). Furthermore, the Ukrainian Association of Washington State reserves the right to assess a non-compliance fee of $200 for any breach of the agreement. Depending on the severity of the non-compliance, the Ukrainian Association of Washington State reserves the right to immediately remove Sponsors from the event and ban Sponsors from participating in future events hosted by the Ukrainian Association of Washington State.
- Contract Termination: The Ukrainian Association of Washington State reserves the right to terminate the reservation/agreement granted hereunder at any time without liability upon the refund of the fee paid herewith. The Ukrainian Association of Washington State also reserves the right to cancel any Vendor during the event for non-compliance with festival rules. No refunds will be provided for any other reason, including inclement weather.
